Key responsibilities include, but are not limited to:- Lead the full spectrum of recruitment activities from initial job identification to initial on-boarding of new employee. Work with individual hiring managers to define recruitment needs in the context of staffing plans; develop clear job descriptions and recruitment plans; and keep hiring managers and applicants informed.- Proactively partner with leadership across the portfolio to determine hiring requirements and develop sourcing and acquisition strategies which include exploring talent partner relationships, tapping into alumni programs, consulting organizations, campus placement drives and other innovative sources.- Ensure best practices and contemporary recruiting methods are deployed across the organization and focused on diversity, equity, and inclusion efforts to hire dynamic and adaptive human resource for WJCF.- Understand resource requirements for thematic areas and verticals, design appropriate job profiles, identify the appropriate talent acquisition strategy, maintain an extensive database with appropriate metrics to track and monitor requirements in a timely manner.- Research and assist in the development of shared ownership recruitment processes to achieve improvements with priority organizational concerns.- Lead employer branding initiatives. Foster long-term relationship with past applicants and potential candidates.- Foster a culture of continuous improvement, innovating on engagement strategies, hiring processes, delivery models, and tools. Review and, when necessary, redesign recruitment processes/tools such as job descriptions, terms of reference, interviewing guidelines, candidate assessment forms, reference checks, background checks, competency testing, offer letters, and employment templates.- Create a positive candidate and hiring manager experience through the full cycle of interviews, offer, acceptance, and beyond.
- Support implementation of Vaccines projects to strengthen NIP/EPI capacity and management and to meet donor objectives and timelines, including development of reports to donors- Support the development of guidelines, workplans, budgets and other materials for key activities- Establish and maintain strong working relationships with key stakeholders in government, and partner organizations including supporting to set up a regular coordination mechanism between key stakeholders- Support team to collaborate with NIP/PHDs/ODs to ensure skills transfer and government ownership- Support the implementation of monitoring and evaluation (M&E) systems to measure the impact of Vaccines programs and assess progress against project goals on a regular basis in coordination with other Vaccines team members and the Program Manager- Support data analysis of routine immunization coverage and zero-dose communities- Develop influential presentation materials that work for varying audiences- Stay up to date with the latest knowledge, skills, policy/strategic guidance and industry trends in the immunization space- Contribute to strategic areas for expansion and support Program Manager in fundraising efforts- Work closely with the CHAI Global Vaccines Team to enlist support and capture and disseminate emerging best practices- Perform other duties that may be assigned by the Program Manager and Senior Program Leadership
- Support program implementation, including strategic support to relevant government departments in operational roll-out of programmatic activities including national policy and coordination.- Support the design and implementation of processes, systems for collection, collation, and synthesis of program data to inform program strategy, operations, and reviews- including supply chain preparedness and development of technical tools.- Monitor program implementation activities; identify potential risks and challenges to the implementation plan and roll-out of activities; work towards addressing potential risks/ mitigation mechanisms.- Build and maintain trust-based relationships with key government partners (from national and sub-national level), cooperating partners, and other relevant stakeholders to expand access to quality PrEP.- Support program leadership in the overall grant management process including sharing inputs or drafting donor update reports including progress monitoring, budget utilization, risk assessments and sustainability structures.- Document and disseminate key learnings from the program implementation with government partners and CHAI program teams to inform evidence-based decision-making and alignment with WHO recommendations and guidelines.- Support opportunity identification, development of proposals, work plans, budgets and other reports and documents for ongoing and new areas as needed to support and facilitate execution of program implementation activities.- Provide technical assistance to support the adoption and expansion of evidence-based, precision prevention strategies through engagement with TWGs and other HIV prevention planning platforms.- Provide analytical support to the Ministry of Health and other country-level stakeholders to drive evidence-based precision prevention programming.- Contribute to project quarterly dashboards by gathering, reviewing, and submitting quantitative and qualitative data on HIV prevention programming, leveraging national health information systems and other data sources.
Key responsibilities of the Finance Assistant will include, but are not limited to, the following: - Maintain accounting software, supporting documents and financial records in line with internal controls- Ensure that all accounting transactions are properly authorized, supported by proper documentation, and completed in accordance with the agreed procedure and recorded in the accounting system in a timely manner- Support accounts payable activities including invoice payments and communicating with admin team, staff and vendors as needed- Support financial accounting including collecting, organizing and reviewing all financial documents to support financial management of the office- Support weekly, monthly financial records within accounting software and supporting files in accordance with internal procedures- Ensure that all CHAI financial obligations are properly attended to on time- Support documentation for internal and external auditors- Answer questions and provide assistance to all staff as needed- Undertake any other duties as requested by the Finance Administrator, Finance Country Lead, Deputy Country Director or Country Director
- Proactively supporting the field team (hired by the Interfacing Agency) and building their capacities to successfully implement the microsites in the selected districts.- Systematically monitoring progress, documenting, and distilling insights and reporting for the microsite(s) implemented in Uttar Pradesh.- Building useful tools and checklists for the interfacing agency to optimise the interfacing agency’s field team outreach (e.g., visit planner, visit checklists, FAQs, reporting forms, etc.)- Monitor the progress of the microsites and support the State ABDM office in documenting the learnings and reporting progress to National Health Authority.- Enabling regular problem solving and cross-learning among the field executives to ensure that the best practices are quickly identified and adopted.- Report all issue(s) as identified on field (technical/ procedural) to (i) State ABDM office, (ii) NHA in a concise manner. Ensure that issues are resolved, and timely action is taken.- Supporting SAO to identify and participate in medical conferences, workshops, and CME sessions to convey benefits of becoming a part of the ABDM ecosystem.- Engaging professional bodies and associations of healthcare professionals to leverage their existing communication channels (sessions, newsletters, magazines, blogposts, and such others) for spreading awareness about ABDM among their members.- Exploring other innovative ways to reach out and engage healthcare professionals to enable them to participate in India’s digital health journey.
- Lead the development of needs assessment matrix, District prioritisation framework and facility identification methodology in conjunction with Project Manager.- Collaborate with the Project manager to secure buy-in on the above matrix, framework and methodology from CTD, WHO and other key stakeholders.- Conduct thorough secondary research and primary data collection to gather insights for the needs assessment, including interviews with key stakeholders to obtain qualitative inputs and validate findings.- Conduct district-level facility visits to identify registration and installation sites for dCXR devices.- Coordinate with State and district teams to gather intelligence disseminate information and align pre and post-delivery process compliance.- Identify potential risks and challenges to the implementation plan and develop effective risk mitigation strategies.- Proactively monitor the project by developing monitoring calendars, progress reports, tracking tools and support the procurement process in better understanding progress made at various stages to aid in informed decision-making.- Support program leadership in grant management activities such as tracking the project plan, drafting donor reports, overseeing the Procurement- Delivery-Installation cycle.- Synthesise and disseminate program implementation insights through presentations, reports, briefs, and publications in the state, with government partners, and CHAI program teams in other states.- Other responsibilities as needed.
- Provide technical assistance to improve EPI’s visibility and coordination on ZD investments, to ensure synergy and avoid duplicative effort. This includes support in setting up regular meetings, developing necessary monitoring tools, completing stakeholders mapping, and providing day-to-day operational support.- Ensure effective communication with key immunization stakeholders e.g., relevant donors and development partners.- Support EPI to facilitate TWG meetings and capacitate TWG as steering committee for ZD monitoring and coordination. This includes conducting data review and data analysis ahead of discussion, reviewing workplans or relevant accountability framework, creating decks for intended audience, and ensuring good follow up.- Proactively support EPI to work with relevant government units or institutions beyond immunization (e.g., with broader maternal and child health units, health planning, finance, etc.). This includes supporting EPI think through/design engagement plan to coordinate and capacitate new local partners at central and sub-national level.- Support EPI to set up routine communication, data sharing and feedback channels with high ZD provinces/districts.- Strengthening institutional capabilities to ensure sustained program performance, particularly in planning, budgeting, and mobilizing resources towards ZD objectives and immunization program goals.- Design and implement tools/guidance documents/ SOPs/ and relevant training materials on how to plan, budget, utilize and monitor the use of funding at sub-national levels.- Conduct targeted subnational capacity building to plan, access, and retire funding, problem solve, and operationalize against ZD objectives and immunization goals. - Continuously identify and help to mitigate challenges faced in accessing, planning, and monitoring funds and results. This includes support in setting up performance monitoring, and in proactively channeling risks and needs to central EPI in timely manner for effective resolution.- Document processes/systems for coordination, planning and overall process that are suitable to help target resources to better reach ZD.- Support data collection, monitoring and evaluation, review and analysis of ZD activities to achieve intended results.- Document learnings from differentiated ZD strategies at central and sub-national level, including challenges in designing and executing ZD activities, and how these challenges can be overcome.- Report writing of lessons and best practice during project implementation.- Ensure the documentation of activities and outcomes to create replicable models and policy advocacy documents.- Perform basic finance and admin functions as needed, especially related to activities, under the guidance of the CHAI Finance team.- Perform any other tasks assigned by the Senior Program Manager and or Associate Program Director and or Country Director.
- Support Finance Lead to ensure high standard of financial stewardship, maintaining books, accounts and other financial records adhering the financial standard of CHAI financial system to ensure accountability.- Prepare documentation for payment transactions including but not limited to cash advances, petty cash, in-house transfers, checks and transfer forms.- Prepare bank payment in internet banking or check payment and seeks Finance & HR Coordinator approval.- Prepare all staff expense reimbursement, cash/travel advances and payments to vendor/supplier/partner.- Prepare all Payment Voucher and ensure it has adequate supporting documents.- Creates online bank transfers and sends to Finance Coordinator and country leadership for approval.- Review and verify all Payment Request of its accuracy of account code, unit costs, expense description, PID, GID in line with CHAI Finance Policy before issuing Payment Voucher for approval.- Writes new checks (in case of petty cash withdrawal or payment is made by check) and have it signed-off by country leadership. - Assist Program Officers in preparing Program Activity Budget.- Assist Finance Lead in preparing Monthly Financial Report.- Works with Finance Lead to prepare for internal and external audits.- Maintains petty cash account and records petty cash transactions in the Petty Cash Book in a timely manner.- Prepares monthly petty cash book for petty cash replenishment and manages cash withdrawals from the bank when cash on hand falls below the threshold.- Conducts month-end physical cash count.- To file all the data of financial report.- Negotiate with the bank officer to get the good rate in conversion from US Dollar account into Rupiah account.- Conduct monthly payment of BPJS Kesehatan premium.- Prepare transactions input/journal in QuickBooks for program activities expenses and office expenses.- Maintain office utilities payments.- Responsible for planning, monitoring and ensure payment of office running costs, such as telephone, internet, utility, and office supply, ensure bills are paid in timely manner- Maintain records and receipts for all daily transactions.- Ensure financial records are kept up to date with the latest transactions and charges.- Assist Finance Lead to update Finance Policy and Procedures.- Other duties as required by the management.
- Provide technical support to the EPI leadership, including developing strategies for integrating COVID-19 vaccination into routine immunization programs and improving overall vaccine coverage.- Work alongside the Associate Data Systems Strengthening to conduct rapid assessments of demand and supply factors using the (BESD approach) and surveys and assist with the development plans to address challenges.- Assist with the development of progress report on the implementation of the road map (following the rapid assessment) and impact on vaccination coverage of target groups.- Assist with the design and implementation of an integrated monitoring and supervision system across facilities and district.- Act as a technical officer, advising on policies and programmatic approaches to enhance routine immunization activities and integration to reach under-immunized communities, including in hard-to-reach settings.- Support the improvement of immunization data collection, reporting, and analysis processes to inform evidence-based decision-making and system strengthening.- Support the Bi-Annual convening of District immunization staff at the national to review RI and Covid program data and share implementation challenges, mitigation action and lessons.- Coordinate meetings at identified communities and liaise with local partners to reach underserved communities.- Work alongside EPI officers to conduct convening for the development, finalization and costing of the integration roadmap.- Monitor, track and provide updates on Gavi investments such as CCEs, PHU Solarization, Motorbikes and tablets by maintaining an inventory and providing information on distribution and use.- Track supervision activities, analyzing supervision performance, and use the findings from the supervision to develop improvement plans. Deploy the use of ODK for supervision tracking and reporting.- Track the regular conduct of M&E subgroup and NLTWG meetings at national and district levels.- Strengthen the feedback mechanism and coordination at the PHUs, District and National by reviewing and updating the accountability framework and TORs of responsible staff.- Build and maintain relationships with key stakeholders, including government officials, technical partners, and donors. Provide capacity building support to healthcare workers and program managers at the national and sub-national levels.- Work alongside other CHAI Vaccines teams to support the implementation of immunization projects, ensuring alignment with national strategies and objectives.- Prepare and disseminate regular reports and insights on program performance.- Work collaboratively with government bodies, internal partners, donors, INGOs, NGOs, CSOs and other partners to mobilize resources and coordinate efforts for improving routine immunization coverage.- Develop comprehensive and compelling content for reports, presentations, and other communication materials to provide detailed program updates.- Execute any additional tasks or projects as directed by the Program Manager to support program objectives and operational efficiency.
- Working closely with stakeholders at Maharashtra State ABDM Office to design an effective implementation strategy for microsites’ implementation across Nagpur and Amravati districts.- Strategic planning and execution of program activities by closely working with the field team (hired by the Interfacing Agency) and managing week-to-week targets and improvising the implementation strategy (if required).- Conduct training and capacity building activities for relevant stakeholders as per program requirements.- Execute program activities and systematically monitoring progress, documenting and distilling insights and reporting for the two microsite(s) (Nagpur and Amravati) implemented in Maharashtra.- Liaising with stakeholders such as the (i) Information, Education and Communication (IEC) team at NHA, and (ii) Various ABDM-enabled IT solution providers to ensure that field team (hired by the interfacing agency) is enabled to provide up-to-date and accurate information to healthcare professionals and to ensure a smooth onboarding process.- Report all issue(s) as identified on field (technical/ procedural) to (i) State ABDM Office, (ii) NHA in a concise manner.
