    Position Overview

    The Administrative Coordinator will be responsible for helping to coordinate the efforts of the Global Information Technology Team, supporting CHAI employees based throughout the world. Located at the CHAI office in Boston, MA, this individual will be responsible for computer hardware, software and cell phone procurement as well as supporting the administrative logistics of the Global Information Technology Team. He/she will track all computer related assets from acquisition to disposal and conduct yearly audits on our country offices to ensure compliance and database accuracy. This position requires a self-starter who is knowledgeable, meticulous, and resourceful to be successful and effective in a fast-moving and entrepreneurial environment. He/she must be excited by the challenge of tackling projects in new areas, quickly building knowledge and skills and effectively applying them.

    Responsibilities

    • Procure computer hardware and software based upon existing vendor agreements
    • Track all computer related hardware and software from procurement to disposal throughout our offices in 22 countries around the world
    • Conduct yearly audits of country offices to ensure database accuracy
    • Work with supervisor to prioritize work requirements
    • Coordinate and establish credibility with internal stakeholders
    • Create basic project budget with reasonable assumptions
    • Coordinate the planning and logistics of meetings, conferences and events
    • Provide administrative support to team projects, initiatives and activities
    • Maintain program fiscal plans and budgets; assist in budget administrative and invoice processing
    • Provide support in the coordination of internal and external communications
    • Perform basic analytical tasks in support of project management
    • Perform other tasks as necessary

    Qualifications

    • Bachelor's Degree or equivalent; or Secondary school or equivalent plus 3 years work experience; or equivalent total work experience
    • Excellent written and oral communication skills
    • Proven ability to work efficiently in a fast-paced environment and to troubleshoot and follow projects through to completion, consistently on schedule, without loss of attention to detail
    • High level of self-motivation and at ease working independently when necessary
    • Ability to work simultaneously on a wide range of tasks and projects
    • Proficiency in computer applications including Microsoft Word, Excel, and PowerPoint
    • Strong work ethic with a commitment to excellence
